2.5 Information Collected Automatically

We use analytics tools, Mixpanel and Google Analytics, to understand how people use our website, our contact form and our onboarding form, and how they arrive. These tools collect:

  • Pages you view, links and buttons you click, how far you scroll, and your progress through our forms
  • Searches you make on our directories (we remove any email addresses or phone numbers from a search before it is sent)
  • Your device and browser type
  • Your approximate location, derived from your IP address (Mixpanel does not store the IP address itself)
  • The website or campaign that referred you, including campaign tags and ad click identifiers

On our contact page and our onboarding form, we use session recordings and heatmaps to see how the page is used (mouse movement, clicks, scrolling and page changes) so we can find and fix problems. If you start either form, we also record your visits to other pages of our website for up to 30 days afterwards. Everything you type into form fields is hidden from these recordings, and personal details shown on the onboarding pages are hidden too. Documents you upload are not recorded, and neither are images on the onboarding pages. Recordings are kept for 30 days.

Once we know who you are, because you gave us your name and email address through our contact form, a booking or our onboarding form, or because you clicked a link in one of our emails, your activity on our website is linked to your name, your email address and where you are in our Services (for example, that you booked a call or completed onboarding). This includes your earlier visits from the same browser.

Links in our emails include campaign tags and a short-lived identifier so we can tell which emails are useful. When you click one, that visit is linked to you.

We never send your Social Insurance Number, banking information, identity documents or other documents you give us, home address, phone number or salary to our analytics providers.

3. How We Use Your Information

The data we collect is used to improve and facilitate our Services in various ways:

4.1 Campaign Distribution

Your Information may be shared as part of your automated targeted outreach campaign to distribute your career marketing materials to relevant contacts across your target market.

Our product analytics provider, Mixpanel, processes and stores the information described in section 2.5 in the United States, and Google Analytics may also process it outside Canada. Information processed or stored outside Canada is subject to the laws of that jurisdiction and may be accessible to its law enforcement and national security authorities. Our customer support team can answer your questions about how our service providers outside Canada collect, use, disclose or store your Information, and can give you written information about our policies and practices for them, using the contact information in section 10.

  • nly_first_touch and nly_last_touch: our own cookies, kept for 90 days and 30 days, which remember the website or campaign that first brought you to us and the one that most recently did.
  • nly_rec: our own cookie, kept for up to 30 days, set when you start our contact form or onboarding form so that session recordings continue on other pages of our website.
  • Google Analytics: cookies named "_ga" and "_ga_" followed by an identifier, kept for up to 2 years, which Google Analytics uses to tell visits apart.

Mixpanel's code on our pages respects your browser's "Do Not Track" setting. Information our own systems record about your use of our Services, such as a booking or your progress through onboarding, may still be sent to Mixpanel.

You can ask us to delete the analytics information linked to you, including session recordings, by contacting us using the contact information in section 10.

8. Third-Party Websites

Our website may contain links to external websites that are not operated by us. We have no control over the content and practices of these sites and are not responsible for their privacy policies. We encourage you to review the privacy policies of any third-party sites you visit.
